People Inc. is a flexible HR system suitable for use within small, medium-sized and large organisations. The scalable nature of the system means that while a complete system can be installed on a laptop, it is also possible to set up a resilient multi-server system with access from many hundreds of employees working in a network of locations. The majority of our clients have between 75 and 450 employees, but we also have clients with as few as 25 people working for them, and large international clients that employ in excess of 1000 people in a number of offices across Europe.

We understand that every organisation has a unique set of needs. To cater for these, we have built People Inc. as a modular system. A variety of modules and add-ons can be used with the core People Inc. system, adding features and functionality. The costs associated with People Inc. will vary according to the options chosen and the number of users who require access. Our pricing is structured so that smaller customers pay less than larger customers; clients only pay for the functionality they need.

Detailed below are some examples designed to provide an indication of the costs (based on functional requirements and size of organisation).

 

Small Organisation - up to 50 employees

For small organisations we recommend a single-user copy of the standard People Inc. system. This can be installed on a computer within your offices quickly and easily (typically a new user can be up-and-running within 30 minutes).

The system enables users to manage extensive employee information including the jobs they do and their remuneration details; it provides comprehensive absence management functionality; it has features to manage training records and appraisals; reporting and letter generation functionality is included as standard. User-training courses are available for users. We can run a bespoke training course at your offices, or you can attend a centrally run delegate training course. In addition, extensive user documentation and video instruction can be accessed free-of-charge online.

Small to Medium-sized Organisation - between 35 and 125 employees

A single-user copy of People Inc. is also suitable for slightly larger organisations. All versions of People Inc. allow you to create as many user-accounts as you wish (and install the software on as many PCs as you wish) but the system will manage the number of users logged-in at any point in time (based on the licence). It is also possible to manage the access-rights for individual users so that some information is held as confidential or private.

While we recommend a single-user People Inc. system for organisations with up to 125 employees, there is in face no limit to the number of employee records you can record within the system.

The same functionality used by small organisation (detailed above) is also provided for small to medium-sized organisations. As the organisation grows, some of the standard screens (for example the recruitment management screens) become more useful. The People Inc. system enables users to modify screens and even add their own screens (in this way you can extend the functionality provided by the system).

The annual maintenance fee of £349 covers ongoing system use, access to the helpdesk, free upgrades (as they are made available) and access to the customer area of our website.

Medium-sized Organisation - between 75 and 250 employees

We recommend a 2-user People Inc. system for medium sized organisation, but any number of user licences can be purchased. Once again, any number of user-accounts can be defined; the system simply manages the number of people who are logged in to the system at any point in time.

It is possible to manage employees who work for different companies using a single copy of People Inc. This can be done using separate databases or by simply defining more than one company within the system. Access profiles can be defined to restrict particular users so that they can access just specified company records (and the associated employees) if desired.

Multi-user systems require that the databases are located on a shared computer or server. Where organisations prefer not to hold data on a server, a hosted option (where the information is stored in the Cloud) is available.

Medium-sized Organisation – including Employee Self-Service

The Employee Self-Service module is an additional tool that is designed to enable line-managers and individual employees to access specific information within the system. Organisations can then automate the management of employee-related requests (for example holiday requests), distributes information and simplifies communication.

Medium-sized organisations (those with between 75 and 250 employees) can gain from using the Employee Self-Service. The cost indication below is for a 2 user People Inc. system with ESS access for up to 200 employees.

Medium to large organisations – between 200 and 500 employees

In addition to the standard functionality the system offers, larger organisations tend to have their own specific requirements. One of the strengths of the People Inc. system is the ease with which you can accommodate custom requirements. Using the design tools provided with the system, new screens can be added and existing screens can be modified. For example, a custom appraisal form can be added to the system and made available to managers and employees via the ESS.

For medium to large organisations with more than 200 we recommend our People Inc. system with 2-4 users. Most organisations of this size will gain significant benefits from using the Employee Self-Service module. The costs for the ESS vary depending on the number of employees within the organisation. It is also possible to buy a range of ESS Add-ons. The cost indication below is for a 3-user system with ESS functionality for 400 employees (no add-ons).

Large organisation

Our People Inc. system is designed to work across multiple offices and can be made available in different languages. Large international organisations use the People Inc. system to manage their HR information and processes. Each implementation for large organisations brings its own requirements and challenges.

The budget for these projects can be in excess of £15000 to £20000.
